Entry Taking — Suggested Procedure for Taking UKC Hunt Entries and Calling Out Casts

The following method of taking Hunt entries and drawing out casts has been found to be as fast, as fair and as easy as any system known. UKC suggests all clubs take entries in this manner so each club and hunter will know what to expect, what to do and how to do it, at every UKC Licensed Hunt.
Every club holding a UKC hunt is sent, along with the reports and scorecards, a supply of sticky-backed entry slips.
Entry slips correspond with the information on the scorecard regarding the registered owner's name and the dog's UKC registration number, name, etc.
Entry slips can be placed on tables and filled out by the registered owner or “certified handler,” and presented to the person(s) accepting entries. Proper UKC Registration Certificate, or UKC Easy Entry™ Card must be presented.
The people accepting entries should make certain the information on the entry slip can be clearly read and is accurate and complete. Be sure to double check the dog's UKC registration number to see that it is correctly recorded. The entry slips can then be placed in three containers for drawing out casts. The three containers should be labeled “Registered,” “Hunting Beagle Champion,” and “Grand Hunting Beagle Champion.”
1. If a person who is entering the Registered portion can also guide a cast, their entry slip, once it has been verified with their registration certificate or UKC Easy Entry™ Card, is placed in the container labeled “Reg. - Guides.”
2. If a person is entered in the Registered portion of the event but cannot guide, their entry slip goes in the container marked “Registered.”
By keeping track of the entry slips in both “Reg.” containers the club will know how many three- or four-dog casts there will be, plus they will know if they have enough guides.
The guides who are hunting should have their entry slips placed on the scorecards. Once each scorecard has a guide's entry slip or a name placed on all the “Registered” category scorecards, the scorecards should be turned face down and shuffled like a deck of cards. Once this has been done, turn over the scorecard and draw out the two or three more entry slips needed to complete the cast and put them on the scorecard.
The UKC Master of Hounds, working with the club's Hunt Director or club officers, will determine who the qualified individuals are that will serve as hunting Judges.
If the Registered or Champion portion of the hunt is advertised “non-hunting Judges,” you will have to keep track of the total number of dogs entered in each of the three categories — Registered, Hunting Beagle Champion, and Grand Hunting Beagle Champion, to be able to determine how
many “non-hunting Judges” you will need and how many three- or four-dog casts will be drawn from each category.
When the casts are drawn out, it must be done publicly and in plain view of everyone. Prior to drawing, it should be announced over the public address system that the draw is about to take place so that anyone wanting to see the draw will have an opportunity to do so.
You are now ready to call out the casts. At this time, the Master of Hounds should read the Master of Hounds Checklist and make any announcements felt necessary, such as clarification or interpretation of rules, and answer any questions.
In order to recognize the status of each category the Grand Hunting Beagle Champions should be called out first, the Hunting Beagle Champions second, and the Registered dogs third.
Remember, the authority of the Judge begins when he is officially designated and receives the scorecard. The authority of the Judge ceases when the scorecard is turned in to the Master of Hounds.
